CHANGING INFORMATION IN THE PROPERTIES IMPACTING DOCUMENTS

Changing the information in the properties of a Microsoft Word document allows you to modify metadata such as the title, author, keywords, and more. This metadata can impact how the document is identified and searched for. Here's a step-by-step tutorial:

1. Access Document Properties

  1. Open Your Document:
    • Launch Microsoft Word and open the desired file.
  2. Access the Properties Menu:
    • Go to File > Info.
    • You'll see a section labeled Properties on the right-hand side.

2. Viewing and Editing Basic Properties

In the Properties section:

  1. Title, Author, and Tags:

    • Click on fields like Title, Author, Tags, or Comments to add or modify the information.
    • Press Enter after typing to save your changes.
  2. Update Multiple Properties:

    • Click Show All Properties at the bottom of the Properties pane to reveal additional metadata fields.

3. Advanced Property Editing

For more detailed changes:

  1. Open the Advanced Properties Window:

    • In the Properties menu, click the dropdown (near the top-right), and select Advanced Properties.
    • A dialog box with multiple tabs appears.
  2. Modify Metadata:

    • Use the Summary tab to edit fields like Title, Subject, Author, Manager, Company, and Category.
    • Use the Custom tab to create or edit custom properties, assigning values and types (e.g., Text, Date, Number).
  3. Save Changes:

    • After editing, click OK to apply changes.

4. How Properties Impact Your Document

  • Searchability: Metadata (like keywords or tags) improves how easily your document can be found in search tools or file management systems.
  • Collaboration: Updating fields like Author or Manager helps team members identify ownership.
  • Presentation: Some properties (like Title and Company) can appear in headers, footers, or during document printing.

5. Practical Tips for Managing Document Properties

  • Save Time: Create a custom property template for frequently used metadata fields.
  • Privacy: Before sharing a document, check and remove personal information from properties:
    • Go to File > Info > Check for Issues > Inspect Document.
    • Run the Document Inspector to identify and remove sensitive metadata.
